How Often Should Pillows Be Inspected and Washed in Vacation Rentals and Hotels?

Pillows are one of the most-used items in any guest room, yet one of the most overlooked. A simple routine for checking and cleaning them protects both your investment and your reviews.

They take more wear than almost anything else in the room, but they get the least maintenance. Operators routinely check sheets, towels, mattresses, and amenities, yet pillows go unexamined until a guest complains.

A flat, unsupportive pillow can ruin a guest's night no matter how good the sheets or mattress are. Pillows flatten with use, absorb moisture and body oils, and lose the support guests expect. Checking and cleaning them on a regular schedule keeps that from happening.

Inspect pillows during every turnover

Every pillow should be checked when a property is turned. A thirty-second look is all it takes to catch problems before a guest does.

Housekeepers should look for:

  • Stains or discoloration
  • Odors
  • Torn fabric or damaged seams
  • Loss of loft
  • Clumping or uneven fill

If a pillow is stained, smells musty, or no longer springs back after use, it's time to replace it.

A 30-second inspection can prevent a negative review.

Wash the protector every stay

The easiest way to keep pillows clean is to prevent them from getting dirty in the first place.

Every guest pillow should have a zippered pillow protector underneath the pillowcase. The protector acts as a barrier between the guest and the pillow, and should be laundered after every departure.

Without a protector, oils, sweat, makeup, and allergens eventually make their way into the pillow itself, shortening its useful life.

Inhaven tip

Keep a small par stock of laundered protectors on the cart. Swapping one in takes seconds and means a pillow never goes back on the bed unprotected between guests.

Wash the pillow every six months

Pillows don't need to be washed after every guest stay, but they shouldn't be ignored either. As a general rule:

  • Polyester and down-alternative pillows should be washed every 3 to 6 months.
  • Down pillows should be washed every 6 months.
  • Foam pillows should be cleaned according to the manufacturer's instructions.

High-occupancy properties may choose to wash pillows more frequently.

Hospitality-grade pillows last longer

One mistake we see frequently is operators buying replacement pillows from big-box retailers or online marketplaces because the upfront price looks attractive.

Retail pillows are designed for use at home. Hospitality-grade pillows are built for hundreds of guest stays and repeated commercial laundering. They cost more up front, but they last longer and hold their shape better. In many cases a retail pillow needs replacing twice as often.

Once you factor in replacement costs and the labor to swap them, hospitality-grade pillows usually work out cheaper over time.

When should pillows be replaced?

No pillow lasts forever. Replace pillows when they:

  • Have permanent staining
  • Retain odors after washing
  • Have lost their shape
  • No longer provide adequate support

For most vacation rentals and hotels, hospitality-grade pillows should be replaced every 18 to 36 months depending on occupancy and use. Retail-grade pillows usually need replacing closer to every 12 to 18 months.

A simple pillow maintenance standard

For most properties, this schedule works well:

01Inspect pillows during every turnover
02Wash pillow protectors after every guest stay
03Wash pillows every 6 months
04Replace hospitality-grade pillows every 24 months, or sooner if inspection shows wear

Pillows rarely get the same attention as mattresses or linens, but they have just as much say in how well a guest sleeps. A simple inspection habit and a regular cleaning schedule protect your investment and help guests rest better.
